AI Service Purpose and Training
AI tools are available in Userlytics’ service offerings and internal operations. Our UX Analysis feature leverages an API with OpenAI and is 100% optional and usage determined by our Clients. The feature can be turned on or off, as a default option, for the entire client account, and even if turned on, for each specific study, it can be enabled or disabled. Furthermore, if used and enabled by a Client, the controls used for the API with OpenAI do not enable OpenAI to use any data for training purposes
Following the completion of a study, and upon request by a Client in a specific study, we leverage encrypted transcriptions through an API with OpenAI (ChatGPT) to provide key points and actionable insights from the client’s qualitative user experience video based studies.
We do not allow OpenAI to use any of our data or those of Userlytics’ clients for training. We have created a series of prompts, based on extensive internal testing, that elicit synthesis and analysis based on the generic OpenAI learning language model (LLM).
We utilize user feedback and iterative development to evaluate our AI solutions, based on real-world scenarios and data. Our AI solutions are not meant to be used on their own as automated decision-making processes, but rather as additional tools to complement study qualitative and quantitative results.
Security & Privacy of Data
A Data Protection Agreement (DPA) with OpenAI is in place to ensure the security and privacy of data exchanged. The data is not used for OpenAI training, nor stored by OpenAI. Our DPA with OpenAI ensures that customer data is not used for model training.
Userlytics maintains the implementation of role-based access control where privileges are allocated to Userlytics staff according to their job classification and responsibilities, while limiting access based on the necessity for each individual to have such information. Userlytics follows a structured process for managing user accounts and access privileges. This includes obtaining authorization based on roles, creating accounts with appropriate access levels, providing access to necessary resources only, and timely removal or deactivation of accounts and privileges when needed.
Data Retention and Sanitization Process
The data we send to OpenAI is not destroyed because we do not allow OpenAI to store it. The data is transient. After that, we receive that data, and store it in our servers. Then, our standard Data Retention and Deletion Policy comes into play.Data is securely destroyed according to an approved data retention schedule. Data is kept for as long as necessary to complete the study or service for the client and stored for up to 365 days from the date of Client’s last login to Userlytics platform unless an earlier deletion is requested. Additionally, deleting backup drives may take up to an additional 45 days after the initial 365-day period or specific data deletion request.
